ARTICLE 1: CLUB OFFICES, COMMITTEES,
MEMBERSHIP AND THEIR RESPONSIBILITIES
OBJECTIVE: To define and assign the responsibilities which
are necessary to successfully operate PHPB - Parrot Heads for the Palm
Beaches Inc.
[1] PHPB will maintain a traditional formation and
structure which includes a President, Vice President, Secretary,
Treasurer and Committee Directors.
[A] President: Will keep abreast of all club business and
will be responsible for day to day operations of the club and report to
the BOARD any business for discussion and or voting.
[B] Vice President: Will keep abreast of all club
business and may represent the President during absences and will report
to the BOARD all related club business for discussion and or voting.
[C] Secretary: Will handle various administrative duties
as assigned by the club and will report to the BOARD all related club
business for discussion and or voting. Be responsible for taking
minutes at all business meetings and have copies available for any club
member who wishes to have a copy.
[D] Treasurer: Will handle all matters relating to the
club’s money account(s) and financial status. Will maintain impeccable
records of all transactions and will report to the board all related
business for discussion and or voting.
[E] Committee Director: May also be referred to as
Committee Head or Chairman/Chairperson.
Will have charge of their respective committee(s) and will report to the
BOARD all related club business for discussion and or voting. A
Committee Director must be designated in order to create any and all NEW
committees. Specific agendas for existing committees:
[1] Adopt a Road/Beach Committee: Will act as liaison between the
county’s “Adopt a Road/Beach” project and PHPB. Will have the
responsibility of insuring that the quarterly project is completed by
soliciting volunteers, arranging the date for clean ups and informing
the Newsletter and Internet committee of those date(s). The director
&/or designee will be present to insure that the project is completed
properly as dictated by Palm Beach County.
[2] Promotional Committee: Will endeavor to promote the
club’s agenda along with its special events and will be responsible for
the transmittal of press releases and public service announcements.
[3] Internet: May also be referred to as the Coconut Telegraph/Cyber
Telegraph.
A Communication tool to include updates &/ web page. A means to keep
online club members abreast of upcoming events, community service
projects, fundraisers and Happy Hour socials. It will also include
information pertaining to the Parrot Head lifestyle in general.
[E] Committee Director:
[4] Newsletter: Club publication, sent out to ALL club members, will
promote upcoming events, community service projects, fundraisers and
Happy Hour socials. It will also include information pertaining to the
Parrot Head lifestyle in general.
[5] PHIP Liaison: Will convey all important and pertinent
information between PHIP, Inc. and PHPB, Inc. This position initially
falls to the President, but he/she may designate another PHPB member to
fulfill this obligation in full or in part. The Liaison will also convey
important information sent by other PHIP clubs as well as any outside
inquiries made to PHPB via mail or internet email and will report to the
BOARD all related business for discussion and or voting if applicable.
[6] Public Fundraising/CSP Event: Being an annual,
ongoing or one time event the Committee Director will have charge of
their respective committee and will report to the BOARD all related
business for discussion. Notify the Promotional, Newsletter & Internet
Committee Directors in a timely manner of pertinent information for
advertisement. Be present to insure that the project is completed
properly. Examples of existing Public fundraiser are:
[a] Memory Night - Alzheimer's Fundraiser event
[b] Concert Event - All day affair evolved around JB concert
[c] Casino Cruise - Fundraiser cruise w/designated charity
[7] Internal Fundraising/CSP Event: Being an annual,
ongoing or one time event the Committee Director will have charge of
their respective committee and will report to the BOARD all related
business for discussion. Notify the Promotional, Newsletter & Internet
Committee Directors in a timely manner of pertinent information for
advertisement. Be present to insure that the project is completed
properly. Examples of existing Internal fundraiser are:
[a] Pop Top collection for Ronald McDonald House of Miami.
[b] Palm Beach Harvest - Dry goods/can goods collection.
[c] Happy Hour Fundraising Jar - Money/donation collection.
[8] Community Service Project [CSP]: Being an annual,
ongoing or one time event the Committee Director will have charge of
their respective committee and will report to the BOARD all related
business for discussion. Notify the Promotional, Newsletter & Internet
Committee Directors in a timely manner of pertinent information for
advertisement. Be present to insure that the project is completed
properly. Examples of existing projects are:
[a] Special Olympics - Liaison to event coordinator.
[b] Salvation Army - Liaison to event coordinator.
[F] ALL CLUB OFFICERS AND COMMITTEE DIRECTORS:
[1] May employ as many volunteers as needed to properly
accomplish their mission.
[2] Will endeavor to respond to the inquiries and
suggestions of the club membership and report any complaints or issues
to the BOARD.
[3] ALL BOARD MEMBERS will make extra efforts at club
functions to interact with others and promote all club activities.
[2] GENERAL MEMBERSHIP - CLUB MEMBERS
[A] We ask that each member participate in supporting the
club agenda in as much that it is practical for the member.
[B] There is no objection to having a passive (Ghost) member pay dues,
receive the newsletter &/or online updates and not participate in many
(if any) of the club functions. We know that some people have very busy
schedules and may live long distances from a function. Mere support by
membership dues and club promotion is also important to us.
[C] Members should report to any officer any concerns,
suggestions or issues which may be of importance.
